This page provides critical information, technical guidance, and onboarding resources related to FAR for all full-time faculty members who participate in the annual faculty evaluation process and complete a self-evaluation.
📌 Note: While the FAR system standardizes the self-evaluation template, your core information on timing and process remain campus-specific. Please continue to check your campus-specific Faculty Affairs webpages for unique guidelines, deadlines, and merit review criteria.
Access and Login to FAR Annual Report
You access the FAR Annual Report feature through GU360. When you login to GU360 and go to your Dashboard, you can scroll to the bottom to find the button to “Generate the Faculty Activity Report” to begin the process of generating your faculty activity report. Please see this quick video on how to get started.
Note: If you do not currently have a delegate but would like to assign one, please go to the GU360 page and fill out the Faculty Delegate Request Form, and we will assign accordingly. Note, departments can bulk assign delegates, but the request form will need the approval of the School’s Dean.
The campuses will have staggered roll-out to align with the different faculty evaluation periods on each campus:
Main Campus: October 2026
GUMC:
University-employed faculty: December 2026
Non-university employed faculty: Spring 2027
GU-Q: December 2026
Law Center: Spring 2027
Ahead of the launch for your campus, we encourage faculty members to take the following steps to prepare:
Log In and Verify Your NetID: Log into your GUFaculty360 profile using your university NetID.
If you do not know your NetID: Please contact your campus Faculty Affairs office.
If you know your NetID but face system errors: Contact UIS directly at help@georgetown.edu.
Audit Pre-Populated Information: Verify that all current structural data on your profile is accurate, including your Name, Academic Rank, Department/Unit, Teaching Schedules, and Grant Records. If automated records are incorrect, please reference the Data Transparency Map below to contact the office responsible for that record.
Optimize Your Public Profile: Update your public-facing page with a professional headshot and biography, and fill out relevant background fields (e.g., Expertise, Research Interests, and Professional Service). You can leverage these support resources to expedite this task:

To minimize your administrative workload, the FAR system automatically pulls in as much existing institutional data as possible. If an automated record is incorrect, it must be fixed at the source. Please use this directory to contact the appropriate data steward:

Constraints
What Cannot Auto-Populate: Awards, News/Media Mentions, Mentoring Lists, General Committees, Research Projects, and Professional Service records.
Workaround: Because there are no unified institutional databases tracking these activities, they must be manually entered into your profile in year one. Once logged, they will carry forward.
Automated News/Media Restrictions: The system will never automatically pull external news feeds into your profile. Because faculty should control what media engagements are showcased publicly, all news items must be personally vetted and manually input.
Internal & Departmental Grants: Internal grants (such as Dean’s experiential funds or specialized research awards) do not live in central GMS or GU-PASS frameworks. You must manually add these via the freeform fields.
Auto-Populating “January” Fields: To verify if a professional entry falls exactly within your specific academic review window, the program requires a month and year. If you input only a year, the system may register a default month (e.g., January) behind the scenes, but leadership has confirmed that any entry matching the evaluation year will be pulled into your final report footprint.
Missing Data After Saving: If you hit “Save” on an item and it vanishes from your active review screen, check the dates of the entry. If the activity occurred outside the specific bounds of the active evaluation year, the system saves it to your permanent faculty profile, but hides it from the current year’s review report.
Award Date Ranges: For one-time awards that do not span a range, simply input the same date for both the “Start Date” and “End Date” lines.

If you receive internal funds (e.g., Dean’s experiential funds) that are not official research grants, log them as freeform Awards.
Data Control and Privacy Information
You retain absolute ownership and granular control over your digital footprint. For every section in your profile, you can explicitly toggle data visibility using three clear parameters (image shows different options):
Public: Visible to the open web via the public portal.
Institution Only: Visible strictly to authenticated Georgetown users logged into the system.
Private: Completely hidden from public indices; visible only to you and securely mapped to your internal annual evaluation report.
Auto-populated grants, Publications, and Teaching default to public visibility unless you choose to hide the entire section. Please note the following:
Teaching that you add to your profile (not auto-populated) will not be visible at all on your public profile.
For each publication, there is a checkbox that you can select “For FAR/Promotion only.” If this is checked, they will not be visible on your public profile.
The default privacy setting for all other sections are private, unless the individual faculty member selects otherwise.

What to Expect – FAR Output
The FAR system acts as an automated generation engine. It compiles your verified activity data into a highly polished, standardized Microsoft Word document, reducing the hours required to complete your annual self-evaluation.
What is NOT Changing
This transition will not change your department’s specific merit criteria, evaluation scores, or how your academic leadership reviews your professional contributions.
Once you download your generated Word document, you are welcome to make manual edits, add narrative text, and submit it alongside any standard supporting materials using your department/unit/school current standard submission pipeline (e.g., via email or a dedicated Box folder).
Document Output Limitations (The MS Word .docx File)
Unformatted Appearance: The platform generates a standard Microsoft Word document to allow faculty the flexibility to manually edit, delete, and add text before final routing. Because MS Word Merge programs have technical formatting boundaries, the downloaded document will look much more plain and dense than the clean web interface.
Workaround: Faculty are encouraged to use the system as their rolling recordkeeping tool throughout the year instead of standard Word documents. Remember, you have full authority to manually style, highlight, or reformat your final downloaded document before handing it to your committee.
Course Evaluation Presentation Details: Course evaluation data arrives from source engines (like Blue) as unformatted data blocks. The system cannot automatically discern specialized class types (e.g., separating a seminar from a large lecture hall) or student enrollment counts. Additionally, if multiple professors teach a shared course, the system currently outputs the full course review block, which can result in repetitive question lists

đź’ˇ PRO TIP: Think of your GU360 Profile as your permanent digital records archive. Whenever you add a publication, grant, or honor to your CV, take a moment to drop it into your profile under the privacy toggle of your choice. In future project phases, this platform will evolve to enable one-click CV generation for promotion dossiers and automated data tracking for departmental/school accreditations. Keeping your archive current will help with smoother transitions in the future.

A: Officially, an academic year begins on September 1 and ends on August 31. This matches the formal term ranges logged in Banner/GU Experience (Fall: 9/1–12/31; Spring: 1/1–5/31; Summer: 6/1–8/31). Even if your campus contracts or custom templates list an August 1 start date, the system runs on the standard September 1 university registrar pipeline.
For those who are reporting by Academic Calendar: If you start your report on August 31, 2026, the system will look for data that fall within the time period of Academic year that includes the terms of Fall 2024, Spring 2025 and Summer 2025. If you start your report on September 1, 2026, the system will look for data that fall within the time period of Academic year that include the terms of Fall 2025, Spring 2026 and Summer 2026.
For those who are reporting by Calendar Year: If you start your report on December 31, 2026, the system will look for data that fall within calendar year starting January 1, 2024, ending December 31, 2025. If you start your report on January 1, 2027, the system will look for data that fall within calendar year starting January 1, 2025, ending December 31, 2025
A: This is a mandatory requirement established by University Leadership. Several departments—particularly within the Main Campus College—evaluate research merit based on a rolling three-year window (the current merit year plus the two prior years).
A:Yes. The system saves your continuous professional history on your baseline faculty profile. Any multi-year memberships, recurring professional activities, or baseline portfolio data entered this year will remain in the system, preventing you from having to re-type them in future cycles.
A: This is by design. Evaluations are historical reviews of the past academic or calendar year. Your current ongoing semester courses (e.g., Spring 2026 courses during a Spring 2026 review) will be captured and evaluated in your next annual review cycle.
For Law Center faculty, we are working on adding all the courses that you will need for your Annual Evaluation, and plan to have this corrected in the system before the official launch on Law Center’s campus in Spring 2027. A: This is a standard behavior of separate Single Sign-On (SSO) systems. It can also be influenced by your individual browser’s cookie or tracking privacy settings.
A:No. All data is saved to your secure faculty profile database so it can auto-populate for future years, but you retain complete control over visibility. When adding an item, simply use the privacy icon to choose whether it is Public, Institution Only, or completely Private (hidden from public view, but pulled into your internal review sheet).
A: Google Scholar does not provide an open API (Application Programming Interface) and actively blocks automated data scraping. Without a secure data bridge, the system cannot reliably sync Google Scholar records or separate namesakes without creating widespread errors.
A:Yes. While support staff cannot click the final “Generate Report” button for you, they can manage your profile records as an authorized delegate. Navigate to gu360.georgetown.edu and complete the Faculty Delegate Request Form to link your assistant’s NetID.
